Photocopier Lease for Australian Offices
A photocopier lease built around what your office genuinely prints, priced as one set monthly figure before anything is signed.
The machine, the genuine toner, the drums, the parts, the service labour and the call outs are all inside that figure.
Paper is the only thing you keep ordering.
Plans open at $160 a month plus GST across lease terms of 36 to 60 months, on Kyocera, HP, Toshiba and OKI.
If you have been comparing a printer lease against a photocopier lease, they are the same agreement here.
We lease copiers and printers on the same all inclusive terms, so the only real choice is the machine.
- No auto renew clause. Once the term is served the agreement falls to month to month until the machine is collected.
- A4 or A3, mono or colour, matched to your print needs rather than to whatever we hold most of.
No obligation · written quote usually the same day · and we will say so plainly if we cannot beat your current deal.

How much does it cost to lease a photocopier?
With us an office photocopier lease usually runs between $160 and $400 a month plus GST.
Where you land inside that range depends on three things and nothing else.
How many pages a month
Volume is the single biggest lever on the monthly fee.
An office running 2,000 pages sits at the bottom of the range.
A practice running 20,000 pages needs a heavier engine and a bigger paper capacity, and the figure moves with it.
Mono only, or colour as well
Colour costs more to produce than mono, both in the device and in the toner it drinks.
Plenty of offices print mono all week and colour only for proposals, so a small colour allowance beats a full colour plan.
A4 only, or A3 as well
A4 covers most day to day office printing.
Plans, drawings, menus, spreadsheets and booklets need A3, and an A3 multifunction device carries a higher base cost than an A4 one.
Median monthly figure, excluding GST, from 155 quotes produced by our own calculator between July 2025 and August 2026, with the sample size under each column.
The two highest volume bands are left out because fewer than ten offices sit in them, and your own figure depends on colour share and paper size as well as volume.
Everything the monthly figure already covers
If the machine needs it in order to keep working, it is priced in.
Paper is the single exception.

Genuine toner, shipped on usage
Usage is tracked at our end, so replacement cartridges are in the post as a level drops rather than ordered once a job has already stopped.

Drums, rollers, fusers and parts
Anything that wears out over a term of 36 to 60 months is our expense rather than yours.
A parts bill never turns up on its own.

Maintenance and repairs on site
If a fault needs a person in the room, a technician attends and the labour is already paid for.

Cyrus Dickie founded the business in 2010 and remains the person you deal with, quote through to handback.
Every one of those printer services sits inside the monthly figure, so photocopiers and printers on a GDS agreement stay supported for the whole term rather than the first year of it.

Every plan carries genuine toner, drums, rollers, fusers, parts, on site service labour and call outs.
Pages past your agreed volume are billed at the cost per copy named in your quote, so there is no bill shock and no guessing.
These are starting points, not a menu you have to fit into.
Send your monthly volume and we price the exact device against it.
When a printer lease is not the right fit
Not every office should sign a lease.
Renting photocopiers and printers keeps the same all inclusive service agreement and the same leading brands on a shorter rental period.
Photocopier rental and printer hire, when a short term machine makes sense
A project office, a fit out, a site closing within a year, or a team whose headcount is still moving.
Rental plans suit all of those, because you hand the machine back at the end of the rental period rather than carry a commitment of 60 months you no longer need.
Flexible rental also covers the gap while you wait out an agreement with someone else, so you are not stuck running two devices or none.
What the rental plans include
The same package for your business as a lease.
Genuine toner, drums and parts, maintenance and repairs, call outs and one named contact.
The difference is the rental period and the monthly fee, not the service agreement behind it.
Standard printer rental against a lease
A standard printer rental costs more per month, because the cost of the machine is recovered across a much shorter rental period.
A lease spreads that cost across 36 to 60 months, which is why the monthly fee is lower and why most settled offices lease rather than rent.
Rental options are ideal for businesses whose horizon is short, whether that is a single copier and printer at one desk or a floor of multifunction printers on a six month fit out.
A printer or photocopier can go in and come out again without a term hanging over it.
Printer rental is worth the premium only when the horizon is genuinely short.
If your office is staying put, leasing is the cheaper answer every time.
Our printer and photocopier hire page sets out the rental options in full, and we will tell you plainly which side of the line your business sits on before you commit to either.
The usual photocopier agreement, and this one
Two agreements can quote the same headline number and behave completely differently once the machine is actually in the building.

Global Document Solutions was one of the smartest business decisions we’ve made.
We do quite a lot of printing … So a normal printer means we were spending a lot of money on ink almost every month.
With the team at GDS, they know when our printer is running low and somebody comes out swaps everything around … we can just relax knowing our printer copier isn’t something that needs to take up any of our mind space.
They are super affordable and in fact have saved us a lot of money in the long run.
“Leased a Kyocera MFC through Cyrus and he was fantastic to deal with, very patient and knowledgeable.
Even after the MFC is installed and the deal is done Cyrus contacted us to make sure we were happy with it.”
“He suggested the perfect copier and scanner, which has made our lives so much easier.
Machine is still going strong today. … Cyrus and his team have always gone above and beyond.”
“I have been a long term client of Cyrus.
I have always found him to be proactive in managing our copier needs to ensure we are getting value for money.”
Office printer lease, rental or buy, which one your office actually needs
Leasing or renting, and what actually differs
A photocopier lease and a photocopier rental answer different questions, and choosing the wrong one is where offices quietly overpay.
A lease fits an office that is staying put with a volume it can predict.
You agree lease terms of 36 to 60 months, the monthly fee falls because the cost is spread across them, and the machine is specified around the work that actually crosses your desks each week.
A rental, sometimes sold as printer hire, fits a shorter horizon.
A project office, a site winding up inside a year, an agreement you are sitting out, or a team whose headcount has not settled.
It costs more per month and you can stop when you like.
Our printer and photocopier hire page covers that side.
Buying outright is the third option.
You carry the upfront cost, then the toner, the maintenance and the repairs, and then the replacement once the machine has had its day.
That can work if you have the cash and the volume is low.
For most businesses a lease turns all of it into a single monthly invoice with support included, which is easier on cash flow and easier to budget.
Is it cheaper to buy or lease a photocopier?
Over the life of one machine the totals are closer than people expect, because the purchase price is only the opening line.
A bought machine still needs genuine toner, drums, rollers, fusers, service labour and call outs, and every one of those arrives as its own invoice at a moment you did not choose.
A lease puts all of it inside one number and keeps the technology current, because at the end of the term you can move to a newer device rather than nurse an old one.
Lease payments are also generally deductible as a business operating expense, where a purchase becomes a depreciating asset on your books.
That is general information rather than tax advice, so confirm your own position with your accountant.
A3 photocopier lease or A4, mono or colour
Three questions settle the device, and the rest is detail.
The monthly page count, whether colour is genuinely needed, and whether A3 shows up in the documents you produce.
Smaller teams almost always land on an A4 multifunction printer.
Offices producing plans, menus, booklets or spreadsheets step up to A3, and our A3 printer and photocopier lease page covers those printer models in detail.
A3 printers earn their place when the documents leave the building.
Plans, menus and stapled booklets read better at that size, and an office printer sized for A4 alone will never produce them.
Laser printers handle the volume and the running cost that office work demands, which is why the printing solutions we lease are laser rather than inkjet.
Tell us the volume and the headcount and we will price the machine that fits.
Takes about ten seconds, and your answers carry straight into the form.
Do I need a managed print service?
If you run one machine, a lease with toner and service inside it is already doing the job.
If you run several devices across floors or sites, a managed print service adds fleet reporting, user authentication and a single service agreement across all of them, so the reporting and the billing stop being a monthly chore.
Choosing the printer type and the printer models
Which printer type you need comes down to your print needs, not to brand loyalty.
We lease a wide range of devices from leading brands, Kyocera, HP, Toshiba and OKI, and the printer models are matched to your business needs rather than to a catalogue.
Offices with high print demand and a mix of A4 and A3 usually want a floor standing multifunction device with a finisher, so booklets and stapled sets come off the machine instead of off someone’s desk.
Most Australian offices want one machine that copies, scans and prints, which is why nearly everything we lease is a multifunction device rather than separate copiers or printers.
If you genuinely need a printer only, we quote that instead.
Wide format printers are a different class of machine again, built for plans and drawings, and we will say so if that is what you actually need.
Whether you call it a business printer or photocopier makes no difference to the agreement.
The machine, the toner and the service are the same either way.
The best printer for your office is simply the one sized to your workflow.
We customise the specification so you are not paying for capacity you will never use.
Buying printers outright, and when it still makes sense
Buy printers if the volume is genuinely low, the machine is simple and the cash is available.
Purchasing new works well for a two person office running a few hundred pages a month, where you buy outright once and rarely think about it again.
Above that the running cost quickly dominates the purchase price, and a lease is how most businesses manage costs and maximise the working life of the equipment.
We are not a finance company.
The agreement is with Global Document Solutions, and one monthly invoice covers the device, the toner, the parts and the service.
Access to the latest technology
A lease gives you access to the latest technology at the end of each term, which matters more than it sounds.
Scan quality, user authentication and the security controls that everyday business operations now expect all moved on in the last five years.
A machine bought five years ago is still a machine bought five years ago.
What happens at the end of the term
- Months 1 to 36, or 1 to 60
One figure a month.
Toner, drums, parts, labour and call outs are inside it.
- Any time during the term
Outgrown the machine?
The device can be upgraded mid contract.
Volume that outgrows it is a conversation, not a penalty.
- The day the term ends
Nothing renews by itself.
The agreement falls to month to month while you decide, with nothing to diarise.
At that point you either step onto a newer machine under a fresh agreement, or the current one is collected.
Nothing is forced.
The agreement simply ticks over month to month while you decide, with no auto renew clause, nothing to diarise, and no second term arriving by default.
If your needs change partway through, the device can be upgraded during the contract period.
Volume that outgrows the machine is a conversation, not a penalty.
Photocopier lease and printer hire, what offices ask before they sign
Q.01How much does it cost to lease a photocopier in Australia?+
Plans open at $160 a month plus GST, with steps at $199 and $299 as the monthly volume rises.
Most offices we quote land between $160 and $400 a month plus GST once volume, colour and paper size are settled.
Every plan carries genuine toner, drums, parts, service labour and call outs, so paper is the only thing you keep buying.
Pages past your agreed volume are billed at the cost per copy named in your quote, so there is nothing to discover later.
Q.02What does it mean to lease a photocopier?+
You take the machine for an agreed lease term, usually 36 to 60 months, and pay a monthly fee rather than buying it outright.
Here that monthly fee also carries the toner, the drums and parts, the on site service labour and the call outs, so the machine stays supported for the whole term.
At the end you hand it back or move to a newer device.
You never own it, which is the point, because the replacement is our problem rather than yours.
Q.03Is it cheaper to buy or lease a photocopier?+
Buying is cheaper only if you compare the purchase price to the lease payments and stop there.
Once you add toner, drums, parts, service labour, call outs and eventual replacement, the totals move much closer together, and the lease has spread them evenly instead of landing them in lumps.
A lease also keeps you on current technology and is generally deductible as a business operating expense.
This is general information only and it is not tax advice.
Q.04Is leasing a photocopier a good idea for a small business?+
For most small businesses, yes, because it protects cash flow and removes the maintenance risk.
There is nothing to pay upfront, the monthly invoice is the same every month, and a breakdown is our cost rather than an unbudgeted bill.
Where it is the wrong answer is a very low print volume or a horizon under a year.
In that case buy a small device, or hire one month to month.
Q.05What is the difference between leasing and renting a photocopier?+
A lease is a fixed term of 36 to 60 months, and the longer commitment is what pulls the monthly figure down.
A rental, also sold as printer hire, runs month to month, carries a higher monthly cost and can be ended when you choose.
Settled office, lease it.
Short horizon or a headcount still moving, rent it.
Q.06Is there an auto renewal clause?+
No. A Global Document Solutions agreement contains no auto renew clause at all.
Once the fixed term is served the agreement drops to month to month until the machine goes back.
Nothing rolls over, so there is no notice window to diarise and no second term to argue about.
Q.07Can I upgrade my photocopier lease during the contract period?+
Yes.
If your volume outgrows the machine, or you start needing colour or A3 that you did not need at the start, the device can be changed.
We look at what you are actually printing now, put the options in writing, and tell you plainly what it does to the monthly figure.
Q.08How quickly can a leased photocopier be installed?+
The quote comes back in writing, usually inside a business day.
After signing, delivery and installation are booked to suit your office rather than our run sheet, and machines are regularly working within days.
Install, network setup and staff training are all inside the monthly figure.
Q.09What if we need to finish the lease early?+
What it costs to stop early is set out in plain English before signature.
It accounts for anything unpaid, the payments still to run and the reasonable cost of collecting the machine, so the number is visible up front instead of at the worst possible moment.
Q.10We are partway through an agreement with someone else. Can you still quote?+
Yes, and most of our new customers start exactly there.
Send the invoice or the agreement you are on now and we set it against an all inclusive plan, line by line and in writing.
If a notice date is approaching we point it out, and we schedule the swap to land on your end date so you never run two agreements or none.
Q.11Which brands do you lease?+
Kyocera, HP, Toshiba and OKI.
The choice follows your volume and the documents you produce, not our stockroom.
We are an authorised Kyocera partner.
If the brand already sitting in your office is the right answer, we will tell you that.
