Managed print services, one set monthly figure.
Several printers, several suppliers and several invoices become one account and one monthly figure.
Devices, toner, servicing and support in a single payment.
We run the fleet, you get one monthly figure.
Some offices call it managed document services.
Key takeaways
- One monthly fee covers hardware, toner, parts, servicing and support, so there are no surprise consumable bills.
- The provider monitors device health and usage, ordering toner and booking service before you run out.
- It suits offices that want predictable costs and less printing admin, from a few staff to multi site groups, as printer leasing for childcare centres shows.
- Most managed print agreements are treated as an operating expense rather than a depreciating asset.
How managed print services works
The short version
- ✓A provider audits what you actually print, then sizes the machines and the plan to it.
- ✓One monthly figure covers the device, genuine toner, parts, on site service and monitoring.
- ✓The agreement carries an agreed page allowance, with a published rate on anything past it.
- ✓Terms run 36, 48 or 60 months, and none of them auto renew.
A provider audits your device count, page volumes, colour use and costs, then sizes the devices and monthly plan to your real volume.
What the monthly fee covers
The agreement rolls five running costs into one predictable figure.
- The deviceA business grade multifunction sized to your volume, with nothing to pay up front.
- Genuine toner and partsShipped before you run out, and billed inside the monthly figure.
- On site serviceFactory trained technicians, scheduled maintenance and every call out.
- Remote monitoringToner levels and device health watched, so faults are booked before they bite.
- Account managementA named account team from the first quote through to ongoing support.
Monitoring and support
Remote print monitoring software tracks toner levels and device health, so consumables arrive and faults are booked before they slow your team down.
Kyocera managed print services and what an authorised partner adds
Often the office already runs Kyocera and wants one provider to service, supply and bill the lot.
We have been an authorised Kyocera partner since 2010.
A managed agreement changes two practical things.
- The supply chain is the official one.Toner, drums and parts come through Kyocera rather than a third party, which is what the manufacturer warranty is written around.
- The technicians know the range. They are trained on TASKalfa and ECOSYS machines rather than on printers in general, so a fault is more often sorted on the first visit instead of the second.
The devices come from the same range on the products page, from compact ECOSYS A4 machines up to A3 TASKalfa colour multifunctions.

What it costs
How much do managed print services cost in Australia?
Managed print services in Australia are billed one of two ways.
Either a cost per page rate sits on top of the equipment cost, or the whole lot is rolled into one monthly figure.
Our plans start From $160 a month (plus GST).
Toner, parts, on site service and call outs are already inside that figure.
The CopierChoice benchmark, published July 2025, puts managed print at 1.2c to 3.5c a mono page and 7c to 13c a colour page.
On a five thousand page month, those cents add real money on top of the equipment charge.
Our plans instead carry an agreed page allowance, set against your real volume rather than an average month.
Inside that allowance there is no separate page charge, and paper is the only thing you buy.
Past the allowance you pay the published excess rate on the overage only.
Your per page rate is on the quote before you sign anything.
| Billing model | Mono | Colour |
|---|---|---|
| Lease plus a service contract | 0.5c–1.2c | 5c–9c |
| Managed print, billed per page | 1.2c–3.5c | 7c–13c |

Contract length
How long does a managed print agreement run?
A managed print agreement in Australia normally runs 36 to 60 months, matched to the working life of the device.
We write ours over 36, 48 or 60 months.
Not one of them carries an auto renewal clause.
A 60 month agreement lowers the monthly figure and raises what you pay over the whole term.
A 36 month agreement does the reverse.

An auto renewing agreement
Relocks into a fresh fixed term unless you cancel inside a notice window you have probably forgotten about.
A Global Document Solutions agreement
Moves to month to month and stays there until you return the device or upgrade.
No agreement we write auto renews.
Term lengths shown are the 36, 48 and 60 month agreements Global Document Solutions writes.
The CopierChoice 2025 benchmark puts the standard Australian term at three to five years.
Which one you need
Managed print services or a printer lease: which one do you need?
A printer lease covers the machine and the finance.
Managed print adds toner, parts, on site service, monitoring and an account manager, so one provider runs the whole fleet.
The CopierChoice 2025 benchmark puts lease plus service at 0.5c to 1.2c a mono page, against 1.2c to 3.5c for full managed print.
Managed print costs more per page because it carries more work.
Global Document Solutions quotes managed print as one monthly figure, so the difference never reaches your desk as a separate invoice.

The practical test: who does the work
only lease
On an equipment only lease each of these arrives as a separate task and a separate invoice.

Why it matters
Why managed print matters for your business
Running printers in house hides a lot of cost: cartridges bought ad hoc, staff time lost to jams and call outs, and capital tied up in devices that depreciate.
Managed print turns those uneven costs into one predictable monthly figure, usually by putting your printers on a supply contract instead of owning the fleet.
A managed device can be exchanged for a newer model at the end of each term, which keeps your fleet current.
