Printer Rental for Australian Offices

This page is about long term printer rental, not a machine for a weekend.

Most offices here rent on a term of three to five years, which is 36 to 60 months.

You pay one set monthly figure and the machine is supported for the whole term.

Genuine toner, drums, parts, service labour and call outs all sit inside that figure.

Rental plans open at $160 a month plus GST on Kyocera, HP, Toshiba and OKI.

Printer rental and photocopier rental are the same agreement here, so the only real choice is the machine.

  • No auto renew clause. When the term is served the agreement falls to month to month until the machine is collected.
  • A4 or A3, mono or colour, matched to what you actually print rather than to what we hold most of.
  • Rental and lease are the same all inclusive agreement here, so the only real choice is the machine and the term.
  • If your horizon is under a year, short term printer hire is the better fit and we quote that separately.

No obligation · written quote usually the same day · and we will say so plainly if we cannot beat your current deal.

The monthly figure

How much does printer rental cost?

Rental plans open at $160 a month plus GST, and three things move that number.

Nothing else changes it, so a page count is usually all we need to price the job.

Photocopier rental is priced the same way, because it is the same machine class.

01

How many pages a month

Volume settles the machine class before anything else does.

A team printing 2,000 pages needs a different device from one printing 10,000.

Pages past your agreed volume are billed at the cost per copy named in your quote.

Our full price breakdown by device and volume shows how the bands are built.

02

Mono only, or colour as well

Colour costs more per page than mono on every machine ever made.

If only a tenth of your work is colour, we size the plan around that split.

03

A4 only, or A3 as well

A3 adds hardware, so it adds cost.

Plenty of offices never need it, and we will say so rather than sell it.

The inclusions

Everything the monthly rental figure already covers

If the machine needs it in order to keep working, it is already priced in.

Paper is the single exception.

A technician replacing toner on a Kyocera multifunction printer on rental in an Australian office

Genuine toner, shipped on usage

Toner arrives before you run out, because the machine tells us it is low.

You never order it and you never see a separate invoice for it.

Drums, rollers, fusers and parts

These are the parts that wear out on every printer, on a schedule.

Replacing them is our cost, not a bill you did not budget for.

Maintenance and repairs on site

A technician comes to the machine rather than asking you to ship it.

Labour is inside the monthly figure.

Call outs and travel

There is no call out fee and no travel charge on a rental agreement.

That is true in every state we cover.

Install, network setup and training

We deliver it, connect it to your network and show your team how to drive it.

None of that is billed separately.

One named contact

You get a person, not a ticket queue.

They know your machine, your volume and your term.

The offer

Three rental plans, one predictable monthly figure

Every plan runs on a term of 36 to 60 months and carries the same inclusions.

The only difference is the machine and the pages it is sized for.

The term

Why three to five years, and what the term buys you

A longer term brings the monthly figure down, because the machine is paid across more months.

Month to month rental costs more per month and buys you the right to stop at any time.

The same machine on four different terms
Month to monthHighest monthly figure 36 monthsLower 48 monthsLower again 60 monthsLowest, from $160 Shorter commitment, higher monthly figure. Longer commitment, lower monthly figure.
Bars show the direction, not a quoted price. Your own figure depends on volume, colour and paper size.
01

Three years suits a settled office

Pick 36 months if your team size and your print volume are steady.

It is the shortest of the long terms and it keeps the newest hardware coming round sooner.

02

Five years suits a heavy print load

Pick 60 months if you print a lot and you want the lowest monthly figure.

The machine is built for the mileage and the term spreads it furthest.

The same terms apply if you would rather call it a photocopier lease.

03

The term does not lock the machine

If your volume outgrows the device partway through, the device can be changed.

We look at what you are printing now and put the options in writing.

The end of the term

What happens when the rental term ends

Nothing renews itself, because there is no auto renew clause in the agreement.

There is no notice window to miss and no second term you did not ask for.

Hand it back

Tell us and we book the collection.

The machine leaves, the billing stops and that is the end of it.

Take a newer machine

Most offices move onto a current device on a fresh term.

We size it against what you actually printed over the last term, not what you guessed at the start.

Keep going month to month

If you are mid move or mid decision, nothing forces you.

The same inclusions carry on and you stop whenever you are ready.

If you need to finish early

The early finish amount is written in plain English before you sign.

It covers anything outstanding, the remaining payments and reasonable recovery costs.

You can see where you stand rather than finding out on the day.

Rent, lease or buy

Renting, leasing and buying over three to five years

Renting and leasing are the same all inclusive agreement here, so the honest comparison is against buying.

Buying looks cheaper until you add the things a rental figure already carries.

Printer rental questions Australian offices ask

Twelve straight answers, with the awkward ones left in.

How much does printer rental cost in Australia?

Rental plans open at $160 a month plus GST, with steps at $199 and $299 as the monthly volume rises.

Most Australian offices land between $160 and $400 a month plus GST once volume, colour and paper size are settled.

Every plan carries genuine toner, drums, parts, service labour and call outs, so paper is the only thing you keep buying.

Pages past your agreed volume are billed at the cost per copy named in your quote.

What is the difference between renting and leasing a printer?

With us they are the same all inclusive agreement, so the choice is really the term.

A long term rental runs 36 to 60 months and brings the monthly figure down.

A month to month rental, often sold as printer hire, costs more per month and lets you stop whenever you like.

How long is a long term printer rental?

Three to five years, which is 36 to 60 months.

Sixty months gives the lowest monthly figure, and thirty six brings newer hardware round sooner.

What happens at the end of the rental term?

Nothing renews itself, because there is no auto renew clause.

Once the term is served the agreement continues month to month until you decide.

You can hand the machine back, move to a newer one, or simply keep going.

When you are ready we book the collection and the billing stops.

Is renting a printer cheaper than buying one?

Buying is cheaper only if you compare the purchase price to the rental payments and stop there.

Once you add toner, drums, parts, service labour, call outs and eventual replacement, the totals move much closer together.

Renting has also spread those costs evenly instead of landing them in lumps.

This is general information only and it is not tax advice.

What is included in the monthly rental figure?

The machine, genuine toner, drums, rollers, fusers and parts, on site service labour and call outs.

Delivery, installation, network setup and staff training are inside it too.

Paper is the only running cost you keep buying yourself.

Can I upgrade the machine during the rental term?

Yes.

If your volume outgrows the device, or you start needing colour or A3, the machine can be changed.

We look at what you are actually printing now and put the options in writing.

We will tell you plainly what it does to the monthly figure.

Can we rent printers for more than one site?

Yes.

Several sites can sit on one agreement with one monthly invoice.

Machines can go in on a staged rollout rather than all on the same morning.

We sell and service in every Australian state.

What if we need to finish the rental early?

The early finish amount is written in plain English before you sign.

It covers anything outstanding, the remaining payments and reasonable recovery costs.

We are partway through an agreement with someone else. Can you still quote?

Yes, and it is a common place to start.

Send your current monthly invoice or agreement and we put it beside a rental plan, line by line, in writing.

If your notice window is close we flag it.

We time the changeover to your end date, so there is no overlap and no gap.

How quickly can a rented printer be installed?

A written figure comes back inside one business day.

Once the agreement is signed, delivery and installation are booked around your office rather than around our run sheet.

Which brands can we rent?

Kyocera, HP, Toshiba and OKI.

We are an authorised Kyocera partner, and the machine is chosen against your volume rather than against what we happen to be holding.
